Cancellation Policy & Terms

Cancellations: Customers will receive a full refund with at least 24 hours’ notice prior to the scheduled tour time. Cancellations made less than 24 hours before departure will incur a 100% penalty (No Refund).

No-Show: Failure to appear at the agreed pickup location will be considered a no-show. A maximum waiting time of 15 minutes will be granted at the scheduled departure time. After this period, the service will be marked as a no-show, charged at full price, and is non-refundable.

Late Arrival: If customers arrive within the 15-minute grace period, the tour will proceed according to the adjusted schedule. Certain activities may be shortened to maintain the itinerary, with no right to partial refunds.

Illness or Medical Conditions: In the event of illness, the primary solution will be rescheduling the tour. If rescheduling is not possible due to availability or scheduling conflicts, the case will be evaluated individually to determine refund eligibility. Customers must provide a medical report or contact information from the attending doctor/clinic and notify us as soon as possible through our official contact channels.

Safety Standards: Under the guidance of our expert staff, we maintain strict safety standards in all our services. Guests must carefully follow all instructions provided by the guides. All visited locations are properly certified and operate under established safety protocols.

Weather: Full refunds will be issued if the operator cancels the activity due to extreme weather or unforeseen force majeure circumstances. When possible, the tour may be rescheduled, subject to availability from both parties.

Personal Belongings: Arenal Private Tours Costa Rica is not responsible for the loss, damage, or theft of personal belongings during transportation or activities. Customers are advised to secure their valuables at all times.

Transportation: Pickup times may vary depending on the customer’s location. For operational or safety reasons, routes, pickup schedules, or logistics may be adjusted. These adjustments do not constitute a service failure.

Operational Changes: The operator reserves the right to modify the order or structure of activities for safety, regulatory, or logistical reasons. These adjustments may be made without prior notice and do not qualify for refunds.

Provided Equipment: All equipment supplied during the activities must be used responsibly. Customers will be held accountable for damages caused by negligence or misuse of provided equipment.

Liability: By confirming this booking, I acknowledge that I participate in the activities at my own risk and release Arenal Private Tours Costa Rica from liability for incidents beyond their direct control.
